Within the delegated authority and under the supervision of Project Manager or his/her designated mandated representative(s), the UNV Project Assistant will:

Ensures effective administrative and logistical support, focusing on achievement of the following results:

  • Assure smooth operational running of the project by following established operational rules and procedures, including preparation of the supporting documentation for contracts and payments;
  • Perform administrative support functions to facilitate the implementation of the project component activities, including personnel matters, attendance records, facilitating missions, office maintenance, reception/registry;
  • Contribute to the programme component/ project annual and detailed implementation work plans and reports preparation in quality and timely manner based on the requirements of the UNDP and project donors;
  • Support in initiating, review, processing and following-up on actions related to the administration of the unit’s human resource activities, including recruitment of consultants ensuring consistency in the application of UN/UNDP rules and procedures;
  • Participate in data collection, analysis and maintenance of programme component/ project related database and files; Keep accurate electronic and paper filing, information and records systems;
  • Support implementation of project component activities (meetings, round tables, conferences, other public activities) including preparation, implementation and follow up, taking meeting minutes etc;
  • Provide logistical support, including travel arrangements, accommodation, visas, tickets, etc. to the programme component/ project personnel;
  • Facilitate and provide full support to project monitoring, evaluation and audit missions, as well as missions of experts;
  • Keep updated project inventory and assure that UNDP regulations on the equipment use, storage and proper maintenance are adhered. Assure that the programme component/ project equipment transfer/disposal is being done in accordance with UNDP rules;
  • Maintain the database of all stakeholders and partners;
  • Provide assistance with documents translation and interpretation as needed;
  • Provide support to various programme/ project activities at the national and sub-national levels;
  • Provide support to communication activities and events of the programme/ project.
  • Any other related tasks as may be required or assigned by the supervisor.
Bachelor degree or equivalent

Bachelor’s degree in a relevant area, e.g. Business Administration, Management, Economics, Human Resources, Finance, Accounting or other related fields;

  • At least 2 years of professional work experience at the national and/or international level in administration, finance, programme/project support or other relevant programmes;
  • Working experience with UNDP or other UN Agency will be considered as an asset;
  • Experience of working in international organizations/projects will be considered as an advantage;
  • Excellent oral and written skills; excellent drafting, formulation, reporting skills;
  • Accuracy and professionalism in document production and editing;
  • Excellent interpersonal skills; culturally and socially sensitive; ability to work inclusively and collaboratively with a range of partners, including grassroots community members, religious and youth organizations, and authorities at different levels; familiarity with tools and approaches of communications for development;
  • Ability to work and adapt professionally and effectively in a challenging environment; ability to work effectively in a multicultural team of international and national personnel;
  • Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, etc.) and email/internet; familiarity with database management; and office technology equipment;
  • Self-motivated, ability to work with minimum supervision; ability to work with tight deadlines;
  • Sound security awareness.
