Within the delegated authority and under the supervision of a Project Manager or his designated mandated representative(s), the UNV Administrative Assistant will:

  • Perform administrative support functions to facilitate the implementation of the project activities, including personnel matters, attendance records, facilitating missions, office maintenance, reception/registry.
  • Support to organization of meetings, workshops, roundtables, conferences, forums and other project events in online and offline format through ensuring proper administrative and logistic arrangements, facilitating related procurement and financial processes.
  • Support to project HR processes, including recruitment, selection, performance appraisal, training, extension, maintenance of personnel files and attendance records.
  • Support to office maintenance and assets management, procurement of office equipment and supplies.
  • Ensure routine support, such as processing of correspondence, maintenance and archiving of all supporting records, documents and files from HR, finance, and procurement activities.
  • Administrative and logistical support to travels of project staff, including arrangements for accommodation, visas, tickets, travel processing in Atlas system etc.
  • Assist in proper organization, implementation, monitoring and control of procurement and finance processes in full compliance with UNDP rules and regulations.
  • Support with coordination, planning and reporting, as might be required.
  • Assist in preparation of annual, semi-annual and ad hoc HR, procurement, financial reports. Follow up on reporting requirements (formats, deadlines…) and procedures, establish the reporting calendar and initiate/prepare the reports in cooperation with other colleagues. Create and maintain spreadsheets and dashboards required for efficient reporting.
  • Assist in minutes taking upon request.
  • Support in translation of documents from/to English.
  • Any other related tasks as may be required or assigned by the supervisor.
Bachelor degree or equivalent
  • Bachelor's or Master's Degree in a relevant area, e.g. economics, marketing, statistics, international development, social sciences, linguistics, philology or other area related to the assignment.

Within the delegated authority and under the supervision of the UNODC’s Technical Assistant for Judicial Architecture, the Assistant for Architecture will:

  • Travel to collaborate on measured and photographic surveys, collecting building data accurately;
  • Produce architectural drawings (plans, elevations, sections, etc);
  • Produce architectural diagrams, maps, schemes and infographics;
  • Liaise with and report to UNODC Architecture supervisor on visual design work related to the project;
  • Liaise with the Assistant for Graphic Design to ensure architectural design material follows graphic design concept and templates;

Within the delegated authority and under the supervision of the UNODC’s Technical Assistant for Judicial Architecture, the Assistant for Graphic Design will:

  • Create graphic design projects for architectural technical reports in both digital and printed formats, containing design concept, visual identity, layout design, formatting, infographic material, charts style and color palette;
  • Develop Adobe Illustrator, Adobe In-design and Adobe Photoshop styles and templates;
  • Assist the supervisor in reviewing final layouts and graphic material suggesting improvements;
  • Liaise with external publishing companies to ensure graphic design material follows graphic design concept and templates;
  • Develop qualitative and quantitative charts;
  • Elaborate project infographics;
  • Turn Excel spreadsheet data into graphs or charts;
  • Advise the supervisor with regard to design style and formatting solutions, taking into account work efficiency;
  • Transform text-based communications materials into visual graphic design materials;
  • Liaise with and report to UNODC Technical Assistant for Judicial Architecture regarding visual design work related to the project;
  • Provide recommendations on the visual design style suitable for the project’s target audience;
  • Any other related tasks as may be required or assigned by the supervisor.

Within the delegated authority and under the supervision of a Project Manager or his designated mandated representative(s), the UNV M&E and Reporting Assistant will:

  • Responsible for clear and timely reporting under the projects results framework, while providing for support to any ad-hoc, monthly, quarterly and annual reporting processes.
  • Review the documents provided by UNDP to obtain better understanding of the project goals, context and profiles of the targeted BMOs in Ukraine including assessments conducted by UNDP. Provide full support with data collection to regularly track changes of monitoring key indicators and the actual status of development of 27 partner business membership organizations, including, but not limited to: number of members, new members, member retention rate, share of MSMEs among members, share of women entrepreneurs among members, budget, share of members paying fees, share of income from service provision, services offered to MSMEs on a cost-recovery basis, industry-based standards or independent professional certifications developed, laws/sub-laws to which comments provided, coalitions joined or created and more. Assist with data entry, data analysis and data interpretation of surveys and interviews.
  • Follow up on reporting requirements (formats, deadlines…) and procedures, establish the reporting calendar and initiate/prepare the reports in cooperation with other colleagues. Create and maintain spreadsheets and dashboards required for efficient reporting.
  • Ensure that projects’ monitoring data is entered into the relevant data management systems (Atlas ERP, corporate intranet and other).
  • Maintenance and archiving of all supporting records, documents and files from monitoring and research activities (raw data, evidence etc).
  • Assist in preparation of narrative inputs for briefings, regular and ad-hoc reports to UNDP and donors, factsheets, situation reports, activity-specific reports, publications, statements for internal and external use etc.
  • Support to identify and formulate lessons learned from project innovation pilots with partner BMOs, evaluations, and studies.
  • Support strategic research initiatives by collating, compiling and analysis of data from various sources, preliminary scoping studies or briefs, contributing to drafting the Terms of Reference for research activities.
  • Support project efforts related to policy and advocacy by providing robust evidence based on relevant and latest information.
  • Support capacity building initiatives on RBM and improving data quality systems for relevant stakeholders.
  • Assist with organization of regular and ad-hoc meetings related to projects research, data collection, monitoring and evaluation activities; help prepare relevant documentation/background notes, presentations, and meeting minutes/summaries of actions to be taken.
  • Support projects evaluation, including data and information collection and consolidation, scheduling of meetings, logistics or other related tasks, as requested. Assist with follow up on implementation of evaluation recommendations.

Under the direct supervision of the Morocco Office Representative, the UN Volunteer will ensure:

I- Effective and efficient functioning of the Representative’s office by performing the following tasks:

- Manage the Representative’s calendar and scheduling of appointments, response to invitations, greeting of visitors, place and screening of calls.

- Draft and disseminate routine correspondence and communication to personnel as requested.

- Prepare documentation and materials for meetings.

- Maintenance of rosters of high-level partners, telephone lists, email lists

- Prepare informal translation as requested

II- Provide project management support focusing on the following tasks:

- Support the coordination of the information flow in the office, follow up on files.

- Support the implementation of project activities including organization of workshops, trainings, working meetings and other events as required.

- Prepare presentation material for meetings and workshops and keep all documentation ready for meetings.

- Organize, compile, and process documentation and information from programme team as inputs to knowledge database and documents.

- Proofread reports, translations, documentation, and correspondence.

III- Support knowledge building and knowledge sharing in the office focusing on the following tasks:

- Perform research to identify and synthesize information, good practices and lessons learned collected from diverse sources, on various issues, that promote knowledge development.

- Coordinate closely with programme and operations staff to identify opportunities and synergies for collaboration on knowledge management.

- Maintain a knowledge database in the office.

- Register, classify, catalogue and organize all reference materials, documents, publications, press releases.

- Contribute to knowledge networks and communities of practice.

- Participate in trainings.

IV- Provide administrative support by performing the following tasks:

- Undertake logistical, administrative, and financial arrangements for meetings, workshops, events, and missions.

- Draft minutes of the meetings, as delegated.

- Make travel arrangements including travel requisitions and claims.

- Create e-requisitions in Atlas and receipt of goods or services as delegated.

- Register and dispatch outgoing communications, and follow-up distribution; keep record of reports received, classify and code materials being filed.

- Maintain and update files of reports, correspondence, and other relevant material, making sure files are properly stored and accessible

- Manage the booking of conference room and other meeting room.

Perform other duties as assigned.
