Description of task

Under the supervision of the Regional Youth Project Manager and advisor, the National UN Youth Volunteer will:

Summary of Key Functions:

1. Provide support to management of ongoing project activities through the following tasks and duties:

  • Collection, analysis and presentation of information for joint planning meeting, quarterly work plans, and budget work plans to support project implementation;
  • Prepare information for Project Manager for his/her advice to donor, UNDP country offices , Implementing Partners[1] and UNDP;
  • Assist in creating project in UNDP’s financial and administrative system, prepare budget revisions, revision of project status, determination of unutilized funds;
  • Prepare and regularly update the Annual Workplan and the project budget; and
  • Undertake project operational and financial closure formalities including submission of terminal reports, transfer and disposal of equipment, processing of semi-final and final revision and support project manager in preparing the terminal assessment reports.

2. Ensures effective administrative and logistical support for the achievement of the outcomes of the project, focusing on achievement of the following results:

  • Support national project implementation activities according to UNDP workflows (ERP System, UNDP Service Request Portal, Service Centre on Demand, workshops, travel, etc);
  • Contacts with visitors and project personnel, arrangement of appointments and meetings, and/or taking minutes;
  • Compilation and preparation of briefing and presentation materials, speeches, background information and documentation for meetings and missions;
  • Maintenance of records/ documents/ files relating to the project in a user friendly manner
  • Be responsible for assigned correspondence and other administrative tasks including creating E-requisitions [2];
  • Arrangements of travel and hotel reservations, preparation of travel authorizations, processing requests for visas, identity cards and other documents;
  • Preparing correspondences relating to the implementation of the projects;
  • Making logistical arrangements for the field visits and missions of the project team;
  • Administrative support to conferences and workshops;
  • Assistance in proper control of supporting documents for payments and financial reports;
  • Check related forms delivered by UNDP Country offices, Implementing Partners for completion before submitting them to the Finance Unit, Procurement Unit or Global Shared Services Unit;
  • Proper receipting of goods and services;
  • Extracting, inputting, copying and filing data from various sources as required;
  • Maintain a proper filing system for financial records ensuring safekeeping of confidential materials; and
  • Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of the reports to Programme Associate.

3. Provides support to project maintenance and assets management, focusing on achievement of the following results:

  • Act as a backup to the Asset Focal point in the maintenance of records on assets management; and
  • Maintenance of files and records relevant to project maintenance.

4. Support knowledge building and knowledge sharing in the BRH, focusing on achievement of the following results:

  • Participation in the training for the operations/programme staff and other trainings as appropriate; and
  • Sound contributions to knowledge networks and communities of practice.

Under the direct supervision of the Child Protection Officer the UN Volunteer will undertake the following tasks:

Monitoring and reporting activities:

Description of task

Description of task

Under the direct supervision of the Regional Coordinator, Climate Change Sub-Programme and the overall guidance by the Regional Director, the UN Volunteer will undertake the following tasks:

  • Act as a Network Coordinator of APAN and coordinate all activities of APAN including supervising contents of APAN Knowledge Portal and regular update.
  • Coordination as member secretary to APAN Advisory Group, meetings and activities guided by the Advisory Group
  • Develop a two year work plan and coordinate and implement activities benefitting APAN and climate adaptation results for the AP region, and contribute to the outcomes and commitments from the 7th APAN Forum.
  • Organize quarterly meeting with organizations made commitments during APAN Forum and review progress of delivery of activities under work plan.
  • Support delivery of activities of Global Adaptation Network (GAN) in Asia and the Pacific Region and maintain a close link with GAN Coordinator and other regional networks under GAN.
  • Reaching out to other actors and networks in the region to strengthen collaboration on APAN Forum’s four resilience areas and five enablers and expand partnerships for advancing forum outcomes.
  • Keeping abreast of adaptation events in the region and exploring opportunities for APAN to connect/support and increase visibility of APAN work on climate change adaptation knowledge.
  • Maintain APAN email list-serve including updating contact lists for APAN including a database of adaptation contacts, organizations, companies, and renowned experts along with their areas of expertise.
  • Making regular contact with leading adaptation experts including in the private sector, and keeping abreast/discovering what they’re working on, interest and expertise (for potential involvement in projects, publications, sessions, webinars) on climate adaptation and related areas.
  • Gathering information on regional adaptation reading to feed into regular APAN reading lists. Develop content in the form of articles, stories, op-eds or other for monthly APAN e-communique and/or newsletters, and APAN websites.
  • Supporting and organizing virtual or in-person adaptation events, webinars, seminars or sessions.
  • Contribute to the delivery of UNEP’s MTS 2022-25 Programme of Work-related to Climate action, Nature action, and Pollution.

Under the direct supervision of the Country Technical Lead and National Programme Officer, the International UN Volunteer will carry out the following tasks:

Administrative & Operations Support

  • Oversee various internal operations functions within the organization including finance, HR, procurement, and logistics
  • Work closely with administrative and operation staff to support, guide, and provide advice on day-to-day operations and problem solving, team building, etc.
  • Conceptualize and develop various process improvements and operations management activities to improve organizational efficiencies (e.g. process maps, trackers, systems integrations, etc.)
  • Report to the Supervisor on bottlenecks, issues, and general status for daily operations
  • Actively participate in strategic planning sessions, long-term planning and vision for organizational structure, operations, and project implementations
  • Act as a liaison with the Regional Office, and occasionally the Head Office, in managerial support including weekly updates, quality assurance, and internal policy and process activities
  • Lead and assist ad-hoc administrative and operations activities including drafting correspondences, organization and coordination of documents, reports, etc.

Project Management Support

  • Assist in programmatic and administrative support for program areas implemented by the country office
  • Assist Project Leads and support teams in monitoring and providing guidance on routine implementation of programmatic project activities
  • Support Project Leads in developing and reviewing relevant documents for programme implementation such as Performance Based Agreements (PBAs), Terms of References (ToR), etc.
  • Support in preparing project related reporting, including quarterly and annual reporting to donors
  • Support the Country Lead in assembling briefing materials, providing updates and input for various meetings with the Regional Office, coordination meetings and discussions
  • Liaise with the Regional Office on periodic reporting (monthly, quarterly, etc.), and other requests to provide guidance on in-country programmatic areas

Description of task

Within the delegated authority and under the supervision of Regional Manager - Pacific or his/her designated mandated representative(s), the UN Volunteer MEAL Support Officer will:

  • Set up UNCDF’s data collection system for partner interventions in each of the programme countries:
    • Develop data management and data visualization tools to track project results and aggregated programme results.
    • Design partner monitoring tools and train partners in data collection and reporting.
    • Based on the primary data collected, analyse project and programme performance and extract relevant findings for strategic decision-making and market based interventions.

  • Supports the MEAL Officer in the planning, preparation and management of M&E strategies and associated activities conducted for the programmes, such as;
    • Support to development and execution of M&E work plan, including internal assessments and external evaluation of the programmes
    • Support with the data collection, quality control and results measurement for the programmes

  • Supports the MEAL Officer and other colleagues in the Pacific to implement the use of UNCDF’s Inclusive Digital Economy Scorecard (IDES) and with associated research on thematic topics relevant to UNCDF’s learning agenda:
    • Supports the data-collection for the IDES tool for each programme country.
    • Identify secondary datasets and research relevant to the implementation of the programme and develop and update the IDES and the country evidence base.
    • Conduct analysis of secondary sources on digital economy data to identify programme priorities and inform market engagements.

Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities:

  • Strengthen their knowledge and understanding of the concept of volunteerism by reading relevant UNV and external publications and take active part in UNV activities (for instance in events that mark International Volunteer Day);
  • Be acquainted with and build on traditional and/or local forms of volunteerism in the host country;
  • Provide annual and end of assignment self- reports on UN Volunteer actions, results and opportunities.
  • Contribute articles/write-ups on field experiences and submit them for UNV publications/websites, newsletters, press releases, etc.;
  • Assist with the UNV Buddy Programme for newly-arrived UN Volunteers;
  • Promote or advise local groups in the use of online volunteering, or encourage relevant local individuals and organizations to use the UNV Online Volunteering service whenever technically possible.

Description of task

The UN Volunteer, as part of the Chemicals, Waste, and Air Quality Sub-programme of the UNEP Asia and the Pacific Office, will assist Programme Management Officer in managing the implementation of the “Project for promoting the Minamata Convention on Mercury by making the most of Japan's knowledge and experiences” and ensures Monitoring & Evaluation is properly conducted according to the workplan.

Description of task

The National UN Volunteer Volunteerism Mainstreaming Officer will be based in Jakarta. S/he will be working under the overall guidance of the UN Resident Coordinator and UNV Regional Manager and the matrix supervision of the Head of the UN Resident Coordinator's Office and the Regional Portfolio Specialist of the UNV Regional Office. S/he will also work in close collaboration with other UN agencies operating in Indonesia, UN inter-agency thematic groups as well as government and non-government partners, by carrying out the below outlined roles and responsibilities :
