Description of task

Under the direct supervision of the Chief Property Management Unit, the UN Volunteer will undertake the following tasks:

  • Assists the Supervisor with planning of the property management operations, monitor progress through statistical analysis of database records and monthly progress reports for the Unit;
  • Assist with monitoring ongoing operations of the Unit, undertaking regular site visits of field mission offices and carries out physical inspections and verification of UN property;
  • Liaises with the Technical Sections, Procurement Section and Movement Control Section at the mission on matter related to Inventory Control, Receiving and Inspection as well as Disposal activities of UN Property;
  • Maintain accurate and auditable records, in both hard and electronic format, for accountability of UN Property at mission location in conformance with Administrative Instructions Department of Management Strategy, Policy and Compliance(DMSPC) guidelines and mission Property Management standard operating procedures (SOP);
  • Assists in the utilization and enhancement, as required, of the established business intelligence and management tools to monitor and evaluate the overall progresses of the Mission’s property management;
  • Monitors the Inventory Management database, ensuring anomalies are identified in Discrepancy Reports and addressed immediately;
  • Assist with preparation of periodic performance reports in line with Global Assets Management Policy Service (GAMPS) quarterly reporting regime, reviews and ensures accuracy of data;
  • Assist preparation of accurate and auditable statistical reports for management in missions and drafts correspondence, as required;
  • Assists the Chief of the Unit in compilation and drafting the Standard Operating Procedures (SOP) and flow charts relating to all aspects of Property Management activities within the context of the overall mandate of the Unit, including terms of reference and job descriptions for the Staff in the Unit;
  • Identifies issues and implements solutions to problematic areas related to Property Management.
  • Ensures accurate tracking of existing fixed assets, implements and monitors the periodic physical verification process;
  • Assists with the preparation of periodic IPSAS financial reports on property and equipment and Inventory (year-end reports, monthly reports), ensures timely submission as per the GAMPS Guidelines.
  • Perform other duties as required.

Description of task

Under the direct supervision of the Admin Officer, the UN Volunteer will undertake the following tasks:

  • Coordinate, manage and support all the fleet management activities in the Office.
  • Implement effective fleet management that regularly monitors the fleet pool, saves cost and safeguards the investment of the organisation.
  • Apply UNHCR's fleet management strategy when preparing plans for purchase of important fleet assets. Conduct spend analyses using historical spend data to identify trends that can be used to plan procurement activities and Frame Agreements.
  • Plan for acquisition, maintenance and replacement of fleet assets. Develop local fleet management replacement strategies taking into account UNHCR short and medium term requirements.
  • Coordinate activities of implementing partners and/or contractors performing fleet related activities, and ensure that they understand and adhere to relevant UNHCR rules and procedures.
  • Respond to field requests for information and advice and coordinate responses from a range of HQ units to provide a clear, consistent and timely response to the field.
  • Collect information both in the field and in HQ, to ensure relevant and appropriate information is gathered and shared. Promote an understanding of concerns, objectives and priorities for fleet related issues by providing information or expertise to interested parties.

  • Provide fleet management reports, customised reports, and gathers information on all fleet assets and provides in-depth reports periodically and when requested.
  • Monitor the quality and accuracy of fleet related data in relevant business systems. Compile and analyse statistical information, identify trends and developments in fleet related matters that will assist in decision making.

Description of task

Under the direct supervision of please complete with the function of the supervisor the UN Volunteer will undertake the following tasks:

Strategy:

  • Prepare plans for delivery of relief items according to operational needs.
  • Apply UNHCR's procurement strategy when planning for purchase of important commodities and services.
  • Through regular physical verification of Property, Plant and Equipment (PPE) establish their status, propose old and obsolete PPE for disposal and plan for the arrival of replacement items.

Operational Support:

  • Maintain accurate and comprehensive records on logistical activities and provide timely reports and updates both periodically and on request.

Infrastructure Support:

  • Evaluate purchase requisitions to ensure that specifications, delivery dates and all other requirements are in order.

  • Prepare Purchase Orders and send confirmations, requests for inspection and other correspondence;
  • Monitor the manufacture/transport of ordered goods to ensure timely delivery.

Description of task

Within the delegated authority and under the supervision of UNDP SECSIP Chief Technical Adviser or his/her designated mandated representative(s), the UNV Logistics and Warehouse Assistant will:

  1. In compliance with UNDP Rules, Regulations and policies, the incumbent will be part of SECSIP Graduate Programme. For this assignment, the incumbent will be co-located at the Solomon Islands Electoral Office (SIEO).

The incumbent general duties and responsibilities will include the following:

Description of task

Bajo la supervisión de la Jefa de Educación / Jefa de Protección, en coordinación con la Asociada de Educación y Asociado de Protección respectivamente, y siguiendo las directrices técnicas del área de operaciones de UNICEF en México, el/la Voluntario(a) de la ONU llevarán a cabo las siguientes tareas:

Seguimiento presupuestario

  • Gestionar, en coordinación con el Asociado de Programa, los presupuestos y los gastos financieros del area programática, garantizando el cumplimiento de las normas y reglamentos de UNICEF, manteniendo al supervisor informado y asesorado sobre las acciones de decisión / seguimiento.
  • Preparar y mantener registros, con el apoyo del Asociado de Programas, de documentos y planes de control y situación financiera para el seguimiento presupuestario de la implementación de proyectos / programas.

Seguimiento adquisiciones y contrataciones

  • Asegurar que la oficina de la Ciudad de México cuente con todos los elementos necesarios para aprobar los PCA / SSFAs (Programme Cooperation Agreements / Small Scale Funding Agreement) que suscribe con sus socios y aliados, antes de iniciar la implementación.
  • Coordinar con la Oficial de Recursos Humanos la elaboración de procedimientos de contratos de consultores y socios externos que brinden un servicio a la sección y a las oficinas de terreno.
  • Enviar solicitudes de creación, eliminación, bloqueo y reactivación de proveedores al punto focal de MDM (Master Data Management).

Comunicación y flujo de trabajo

  • Facilitar la comunicación y el flujo de trabajo de la organización para mejorar la eficiencia y la puntualidad de las operaciones y los productos.
  • Gestionar correspondencia, correos electrónicos y llamadas telefónicas entrantes y salientes.
  • Comunicar información rutinaria y no rutinaria relacionada con el trabajo del equipo.

  • Asistir en la preparación de presupuestos sobre costos de viaje y mantiene registros de control presupuestario y plan de viaje.
  • Supervisar la certificación de viaje e informar al equipo.

Procesamiento de facturas e informes financieros

  • Recopilar las facturas y archivar los documentos para la certificación y, posteriormente, remite la solicitud de pago con todos los archivos electrónicos de respaldo al Asistente de Operaciones para su revisión y envío a la Oficina Global de Budapes para su procesamiento.
  • Responder al estado de las transacciones del cliente y otras consultas.
  • Elaborar con apoyo del equipo de cada sección, informes financieros periódicos y puntuales, para estar al día de la situación financiera de los proyectos y contrataciones.

  • Apoyar la gestión de insumos administrativos, equipos de oficina, y coordinar con la gestión de registro de activos para la actualización del inventario de artículos.

Condiciones para Voluntarios/as nacionales

El beneficio principal de prestar servicio como Voluntario/a ONU es la satisfacción personal que brinda la asignación de voluntariado, puesto que implica repercutir de manera positiva en favor de la paz y el desarrollo. Sin embargo, el programa Voluntarios de las Naciones Unidas ofrece apoyo durante su asignación de varias maneras. El programa UNV cubrirá:

  • Un subsidio VLA (Volunteer Living Allowance) de MXN 24,000 que será proporcionado mensualmente para cubrir los costos de alojamiento, vivienda y gastos normales de subsistencia.
  • Contrato de seis meses con posibilidad de extensión considerando duración y metas específicas a alcanzar a lo largo del periodo señalado.
  • El viaje de traslado al lugar de la asignación y subsidio de instalación y repatriación (si es aplicable) serán provistos en el caso de que el destino de trabajo no se encuentre a una distancia razonable del local de residencia del voluntario.
  • Los seguros de vida, salud e invalidez permanente están incluidos (el seguro de salud para un máximo de tres personas a cargo), así como un subsidio de reinstalación por un servicio satisfactorio.
  • El/la voluntario/a tendrá derecho a vacaciones anuales y baja médica (si aplicable), cursos de aprendizaje virtuales y capacitación.
