Description of task

Under the direct supervision of the Chief of Unit and in close collaboration with Task Managers, the Branch Communications lead and UNEP GEF Communication Coordinator the UNV will undertake the following tasks:

  • Design, populate and manage a central document repository for the GEF-IW portfolio including a dashboard system to track project progress, deadlines and resulting achievements/results
  • Support the development of the UNEP GEF website by developing, collating and updating content for the GEF-IW subsite
  • In liaison with the UNEP Communication Division, develop and disseminate various communication products including visuals, flyers and other outreach materials that promote the GEF-IW unit’s work across the UNEP and GEF websites
  • Communicate with and provide inputs to the IW: LEARN knowledge management platform
  • Provide support to the GEF-IW team in projects oversight and management through provision of periodic relevant updates from the dashboard
  • Maintain and update the database of relevant partners and stakeholders and support partnership building for expansion of the GEF-IW portfolio
  • Prepare briefing notes, projects fact sheets, stories, periodic news articles, support the preparation of meeting, and workshop minutes, presentations, and other informational materials
  • Provide support to carry out social media campaigns, online community engagement and participation for optimum outreach and impact
  • Contribute to the preparation of various written portfolio outputs such as draft background papers, analytical notes, sections of reports and studies, inputs to publications, etc.
  • Prepare reports for internal and external requests, document and disseminate best practices, stories and lessons learnt from the projects across the regions
  • Perform other related duties as assigned

Description of task

Under the direct supervision of the Kenya Country Programme of the United Nations Environment Programme (UNEP), this position is hosted by the Ministry of Devolution and the ASALs of Kenya. The UN Volunteer will undertake the following tasks:

  • Establish a link and act as a liaison between the Ministries of Devolution & ASALs, Water and Irrigation and Environment, the county governments, the UN Country Team and other partners;
  • In liaison with UNEP, the Cabinet Secretary (CS) and all partners establish the team’s work plans and set objectives & performance indicators for achievement of planned results;
  • Promote teamwork and partnerships to facilitate harmonization, integration & linkages;
  • Handle all correspondences under the program;
  • Coordinate all the meetings workshops and travel arrangements for the technical teams;
  • Coordinate personnel in all the counties targeted by the program;
  • Continuously update the CSs, UN Kenya Country Team and other partners on the status progress and workplans of the program;
  • Prepare reports as required and stipulated in the concept note on a rapid water resources assessment in the ASAL counties of Kenya;
  • Provide first level technical assistance in the preparation and executing of the assessment, including support in data collection and data analysis on water resources and water resources management in ASAL counties;
  • Prepare information, communication and outreach products resulting from the project;
  • Facilitate meetings with governors of the targeted counties and follow up on public participation;
  • Provide strategic advice to the UNRC, CS and UNCT and relevant partners on identification and establishment of innovative partnership modalities, exploring new partners (e.g., emerging donors, CSOs, academic institutions, private partnerships and fund mechanisms);
  • Undertakes other tasks as may be requested by UNEP and CS as directly relates to the project.

Description of task

Within the delegated authority and under the supervision of [Programme Management Officer-Human Settlements] or his/her designated mandated representative(s), the UNV [Urban Development Specialist] will:

  • Provide technical support in the development of urban governance platforms and networking between governments, institutions, businesses and communities of interest and practice within the system of cities and towns in Turkana West to foster trade, investment, knowledge and information exchange, innovation, and collaborative governance.
  • Organize three Corridor Development Forums in Turkana West involving government, businesses, international agencies, NGOs, community representatives and stakeholders with interest in the long-term development of the corridor
  • Support the establishment of at least three local industry associations, communities of interest or practice in the Kakuma-Kalobeyei cluster. These might include ITC, energy, education, health, design, food and/or construction.
  • Develop mechanisms to support the development of an enterprise hub and catalyst for economic activities to facilitate the connection of the Kakuma-Kalobeyei cluster into the economic development corridor of Turkana West
  • Provide report upon conducting survey and collecting data with experts on the ground for sustainable economy for corridor development in Turkana county
  • Draft report of sustainable economy for corridor development in Turkana county
  • Draft a policy paper on sustainable economy of corridor development in Turkana county.
  • Update and draft bi-monthly donor report.
  • Finalize a paper on participatory planning process of UN-habitat in Kakuma

Description of task

These posts are located in UNEP’s Economy Division, Energy and Climate Branch, Global Environment Facility (GEF), Climate Change Mitigation Unit at the Nairobi duty station. Under the direct supervision of UNEP Task Manager, the UNV Programme Assistants will be responsible for the following duties:

Project Design (concept phase):

Project/Programme Development

  • Verify Project Identification Forms (PIFs): grammar, spelling, acronyms, uniformity in presentation / formatting, consistency of information in tables and text, completeness of all required sections and ensure that all necessary corrections are incorporated.
  • Draft Letters of Endorsement (LoE) using the GEF approved templates for signing by the National GEF Operational Focal Points
  • Upload PIFs and responses to GEF Sec reviews on the GEF Portal.
  • Ensure all documents are properly archived in the Climate Mitigation Unit shared database, using the standard file naming convention.
  • Ensure the project developers have the latest templates to prepare the Chief Executive Officer (CEO) Endorsement Requests, including all required GEF and UNEP annexes / appendices.
  • Verify CEO Endorsement Request and annexes: grammar, spelling, acronyms, uniformity in presentation / formatting, consistency of information in tables and text, completeness of all required sections and ensure that all necessary corrections are incorporated.
  • Perform consistency checks on the information provided in the different interlinked CEO Endorsement Request annexes (i.e. Budget, Workplan, and Terms of References).
  • Upload CEO Endorsement Requests and responses to GEF Sec reviews on the GEF Portal.
  • Support the Task Manager in coordinating with other UNEP units / teams, whenever needed.
  • Ensure all documents are properly archived in the Climate Mitigation Unit shared database, using the standard file naming convention.

Project Implementation:

  • Assist the Task Manager and Administrative Officer in preparing Project Cooperation Agreements (PCAs) and/or Internal Cooperation Agreements (ICAs) as well as compiling the standard appendices for the upcoming CEO endorsed GEF projects under the enabling activities portfolio.
  • Track circulation of new project internalizations and all projects revisions for the enabling activities portfolio through UNEP clearance and approval process.
  • Assist the Task Manager in reviewing project implementation plans, work plans and budgets; verify availability of funds; ensure necessary approval and entry in computerized budget system.
  • Assist the Task manager in reviewing agendas, terms of reference, presentation slides, and other documents prepared by the Executing Agencies for project inception workshops.
  • Assist the Task Manager and Administrative Officer in communicating / coordinating with Executing Agencies on timelines to submit all required UNEP/GEF reports as per the requirements of the PCA / ICA.
  • Ensure the Executing Agencies use the right templates to meet these reporting requirements, and that all sections of the reports are duly completed.
  • Support the Task Manager in reviewing the required GEF/UNEP reports submitted by the Executing Agencies under the enabling activities portfolio.
  • Support the Task Manager in reviewing budget and workplan revisions and provide guidance to the Executing Agencies as necessary for them to complete the documents correctly.
  • Draft correspondence on budget-related issues and prepare and update periodic reports, briefing notes, graphic and statistical summaries, accounting spreadsheets.
  • Assist in the follow-up on outstanding financial and progress reports with the Executing Agencies.
  • Support the Task Manager in coordinating with other UNEP units / teams, whenever needed.
  • Ensure all project reports for enabling activities portfolio are properly named and filed in the Climate Mitigation Unit shared database.
  • Track the submission, review and approval of all required GEF/UNEP reports of enabling activities portfolio and ensuring that the tracking tool is up to date.
  • Support the Task Manager in preparation of annual reports on status of NC & BUR/BTR for submission to the GEF, as and when needed

Project Evaluations and Closure:

  • Assist in creating / populating the evaluation database / repository with relevant project information, reports, deliverables and documents.

General:

  • Provide general administrative and coordination support to the Task Manager and the Administrative Officer.
  • Maintain and keep up-to-date project folders / files.
  • File and archive documentation and reports in the Climate Mitigation Unit shared database, following the standard file naming convention.
  • Support the Task manager in organization of meetings within the climate mitigation unit as well as with national partners
  • Perform other related duties as assigned by the Task Manager.

Description of task

Under the overall guidance of the Team Leader-Women Economic Empowerment, the programme Assistant-Private Sector shall be responsible for; driving the Unstereotype Alliance and Women Empowerment Principles programme.

  1. Programme Management Support:

  • Drive growth of UA and WEPs membership in Kenya, including engaging new and old members, developing and updating member databases, conducting due diligence, following up with member payment, sharing materials and tools from HQ and best practices’ from membership, for purposes of learning;
  • Provide programme and administrative support to UA and WEPs programmes in the preparation of programme work plans, budgets, and proposals on programme implementation arrangements;
  • Lead the implementation of the programmes and their workplans including timely communication to partners, convening of meetings both virtual and physical;
  • In a timely manner, lead in preparation of UN Women quality internal reports on WEPs and UA including following up with members for their reports, collating the same and synthesizing into a comprehensive KCO report;
  • Engage with and monitor the partners and their WEPs and UA commitments;

  1. Administrative Support to UA and WEPs
  • Provide administration/procurement support to the project: organization of conferences, workshops, seminars, missions, budget the events;
  • Make travel arrangements as necessary including preparation of travel requisitions and claim.
  • Organize and coordinate filing of correspondence/documents and ensure up-to- date filing. Maintain both hard copies and electronic copies of the office records and reference files on various subjects.
  • Create and maintain appropriate folders for reference materials received electronically.
  • Prepare presentation material/slides in Power-point for presentations for the meetings/workshops and keep all papers ready for meetings.

  1. Technical and Advisory Support
  • Supervise closely, the roll out of UA and WEPs;
  • Maintain relationships with UA and WEPs members to support implementation KCO’s private sector engagement programme;
  • Identify opportunities for capacity building of partners and together with HQ, facilitate technical/ programming support and trainings including in Gender Responsive Procurement, tools to unstereotype media and advertising etc;
  • Provide technical assistance, mentoring, training and capacity development initiatives to partners as the case might be.

  1. Provide Substantive Inputs to Building Partnerships and Resource Mobilization Strategies
  • Forge strategic partnerships and maintain relationships with private sector companies, corporations and associations of women and businesses, to support implementation UA dn WEPs;
  • Lead UN Women’s participation in policy dialogues at country level, on issues related to Gender Equality, Women Empowerment and private sector engagement;
  • Prepare relevant documentation such as project summaries, conference papers, briefing notes, speeches, and donor profiles;
  • Identify donors and participate in donor meetings and public information events related to WEPs and UA, as delegated.
