Within the delegated authority and under the supervision of the Budget Officer/Fund Management Officer, the UN Volunteer Project Management Assistant will:

BUDGET MANAGEMENT:

• Prepare cost estimates and budget proposals, in terms of office resource requirements such as staff and non-staff requirements, including programmatic aspects; reviews, analyses and revises data with respect to the finalization of the budget proposals.
• Provide support to programme officers with respect to the elaboration of resource requirements for budget submissions.
• Administer the allotments in accordance with the established procedures including redeployment/reallocation of funds.
• Administer and monitor extra-budgetary resources, including review of agreements and cost plans, ensuring compliance with regulations and rules and established policies and procedures.
• Monitor budget implementation and determine/recommend reallocation of funds when necessary.
• Monitor expenditures to ensure that they remain within authorized/approved levels.
• Review all requisitions generated by the Umoja system for goods and services to ensure correct objects of expenditure have been charged and confirm availability of funds.
• Prepare relevant documentation with respect to budget performance submissions.
• Review and make appropriate recommendations with respect to the finalization of budget performance reports, analysing variances between approved budgets and actual expenditures.
• Provide substantive support to intergovernmental and legislative bodies.
• Act as certifying officer, certifying the availability of adequate funds, under Financial Rule 105.5 in adherence with the UN Regulations and Rules

FINANCIAL MANAGEMENT:

• Assist in the preparation of the Science Division project budgets and reports:
• Assist in the coordination of project implementation of the Science Division Programme
• Monitor expenditures on a timely basis, ensuring that they are within the approved budget
• Assist in the preparation of financial reports to be submitted to donors.
• Assists staff members, Fund Management Officers and donors regarding queries on payment and deposit-related issues.

GENERAL:

• Keep up to date on documents/reports/guidelines that have a bearing on matters related to programme, ensuring compliance with intergovernmental recommendations and decisions as well as with United Nations policies and procedures.
• Provide data for the preparation of bids, purchase orders, consultant contracts and commercial contracts, as relevant.
• Participate in meetings, assisting in the presentation of financial reports and progress reports to project teams and donors.
• Provides guidance, training and daily supervision to other general service staff in the area of responsibility.
• Perform other related duties, as assigned.

Under the direct supervision of the Senior Programme Officer/Portfolio Manager/Project Manager, the UN Volunteer will undertake the following tasks:

• Support oversight, revision and monitoring of project “716.1: Capacity building for national and regional environmental information and knowledge management” and its activities to ensure they are on track and any issues are resolved promptly.
• Maintain an overview of the status of project activities in different regions, issue alerts and propose remedial measures when necessary.
• Coordinate periodic progress reporting in required formats, portals and platforms.
• Maintain close communication with project focal points in different Regional Offices and ensure responsiveness to their requests.
• Facilitate the project’s internal liaison and coordination within the Division and with other relevant technical teams in UNEP
• Drafting, reviewing and editing a variety of reports, studies and other documents.
• Documenting lessons learnt in the implementation the project activities.
• Support administrative coordination of projects implementation activities, involving extensive liaison with the diverse organizational units to initiate requests, obtain necessary clearances.
• Support the development of a coherent strategy for Capacity Development for the Science Division.

Given the current working arrangements due to the COVID-19 pandemic, the tasks described here-below will have to be undertaken remotely in whichever country the selected candidate is based, until further notice.

Under the overall guidance of the Chief of the Environmental Governance and Conventions Branch, Law Division, and direct supervision of the Programme Management Officer, the UN Volunteer, in close collaboration with the Project Assistants in the Division, will ensure effective and timely implementation of the activities of the African Elephant Fund by:

• Assisting in coordination of activities related to the African Elephant Fund, providing administrative and substantive support to the meetings of the steering committee of the fund e.g. proposing agenda topics, preparation of background documents and presentations, handling logistics, etc.
• Assisting in monitoring the implementation/execution of project activities of the African Elephant Fund; reviewing relevant documents and reports;
• Assisting in activities related to budget funding, project preparation and submissions, progress reports, financial statements, etc. and preparation of documents/reports relating to the activities of the African Elephant Fund and liaises with the Fund Management Officer to ensure direct payments to executing partners and prepare project budget revisions as necessary.
• Assisting in managing specific aspects of project activities relating to the Multilateral Environmental Agreements (MEAs) in the Branch.
• Providing administrative and substantive support to consultative and other meetings, conferences and side events of MEA-related projects and activities of the Branch.
• Performs other duties in the Law Division as required.

Within the delegated authority and under the general supervision of the Officer overseeing the environment governance subprogramme or his/her designated mandated representative(s), the UN Volunteer will:

• Research the environment governance situation in the region and propose entry points for planning and conducting activities to enhance the legislative and institutional capacities in countries of the region
• Provide support and review for environmental legislations
• Support the engagement of the regional office in the environment dimension of sustainable development, SDGs and the Voluntary National reviews through the substantive review of relevant documents, reports and processes
• Support the development, planning and coordination of projects under the subprogramme (in particular Green Gulf Initiative and the NGO Capacity Building projects)
• Prepare comprehensive and detailed progress reports on the assigned projects and activities
• Provide operational support to the implementation of the assigned projects, facilitating project missions, meetings and workshops
• Identify and prepare partners profiles with potential to contribute to subprogramme development and implementation

• Any other related tasks as may be required or assigned by the supervisor.

Within the delegated authority and under the supervision of the Senior Administrative Officer, or his/her designated mandated representative(s), the UNV - Budget and Finance Assistant will undertake the following tasks:

• Assist in the preparation of a results-based budget for the Ozone Secretariat for submission to the Parties to the Montreal Protocol and Vienna Convention
• Verify documents for overall accuracy, consistency and uniformity in presentation and ensure comprehensiveness and compliance, cross-check consistency of figures in tables with the text of the reports and verify references to other reports and documents and ensure that all necessary corrections are incorporated.
• Review budget utilization on a monthly basis and assist with the preparation of the report for management review and on yearly basis for submission to the parties
• Review income and analyse ageing of contributions on a monthly basis and assist with the preparation of the report for management review
• Review financial transactions every month for accuracy and correctness and propose accounting adjustments, if required
• Provide logistics support in the meetings as required

• Provide guidance to Implementing Partners on financial reporting as per the legal agreement and on the templates to be used for meeting the reporting requirements
• Initiate processing of cash advances and expenditure recording and follow up on remittances of funds and liquidation of purchase orders.

General description:

Responsible for the Workshop Management and oversight of all WFP fleet assets in Haiti; and co-ordinate these activities in accordance to the Procedures, Normative Guidelines and Business Rules as set by WFP.

Key Tasks and Responsibilities:

Under the direct supervision of the Fleet Manager and in co-ordination with all Fleet staff, the incumbent shall perform the following duties:

1. Carry out Scheduled Maintenance & Repair, Overhaul, Reconditioning, Modifications, in a most efficient manner with the ultimate objective to ensure that all vehicles are maintained to a high standard and roadworthy condition.
2. Responsible to oversee the Materials Management aspect of the operation and in particular the controlling, justification and issuance of Spare Parts, tyres, lubricants & Consumable Materials.
3. Responsible for forecasting and requisitioning of spare parts: Preparation of orders for spare parts / tires and materials required for the operation.
4. Carefully record and maintain an Inventory list of all Tools & Workshop Equipment.
5. Provide oversight and supervision to all staff and ensure that the work is carried out to a satisfactory standard as required by the Organisation; including strict time-keeping and completion of timesheets.
6. Involved in the control and cost effectiveness of the vehicles and prepare recommendations for write-offs, where necessary.
7. Investigate means to constantly reduce the operational costs of the Fleet pertaining to maintenance activities.
8. Responsible for the management of tyres which include maintenance practices, controlling mechanisms and performance monitoring.
9. Ensure that proper Workshop Administration, record keeping & vehicle History Records are well maintained via the Fleet Management System.
10. Ensure that timely accurate data is entered into the FMS for the Repairs.
11. Responsible to Manage and ensure that all reports and information as required by the Organisation are produced promptly on a timely basis via FMS. Additionally analyze information and quality of reports prior to distribution.
12. Responsible for the Management of Oil & Lubricants ensuring that the quality / quantities of the supply of lubricants are in accordance to standards set.
13. Implement Best Practices established and ensure that KPI’s (Key Performance Indicators) are maintained with parameters set.
14. Ensure that minimum Health and Safety requirements are met in full, together with considerations for environmental needs.
15. Responsible to ensure that all staff (Persons Reporting) carries out their duties in accordance to their Job Descriptions set.
16. Continuously collect and collate valuable data or information relating to improvements required for Standardisation and Development purposes for Fleet Management and communicate this information to other staff in the Fleet Section.

Under the direct supervision the Communications Analyst, the UN Specialist Volunteer will undertake the following tasks:

• Generate, edit, publish and share daily content (original text, images, video or HTML) that builds meaningful connections and encourages community members to take action to promote the UNV Programme in its advocacy efforts
• Develop, implement and manage a social media strategy in support of the ROWCA priorities and provide a scheduled publication plan
• Ensure regional social media accounts communities receive a high level of support through effective moderation and strong community management
• Support ROWCA field units with their social media channels and plans
• Create and modify, banners and graphic designs for global campaigns for usage on the website and social media channels
• Take high quality photos and short videos during regional events or international days celebration and edit them if necessary.
• Arrange the webcast of events on the website and online interviews with senior mission officials on the Mission’s social media platforms and online forums.
• Prepare comprehensive monthly reports to measure impact of social media presence, including detailed statistics and analytics on the ROWCA’s social media activity, audiences, reach, tweets, impressions, engagement and website traffic.
• Keep abreast of latest developments in social media production, technological innovations and marketing techniques in the news and social media and web industries and ensure the successful integration of those tools in all platforms.
• Undertake any other related duties as may be required.
