Under the direct supervision of the Morocco Office Representative, the UN Volunteer will ensure: I- Effective and efficient functioning of the Representative’s office by performing the following tasks: - Manage the Representative’s calendar and scheduling of appointments, response to invitations, greeting of visitors, place and screening of calls. - Draft and disseminate routine correspondence and communication to personnel as requested. - Prepare documentation and materials for meetings. - Maintenance of rosters of high-level partners, telephone lists, email lists - Prepare informal translation as requested II- Provide project management support focusing on the following tasks: - Support the coordination of the information flow in the office, follow up on files. - Support the implementation of project activities including organization of workshops, trainings, working meetings and other events as required. - Prepare presentation material for meetings and workshops and keep all documentation ready for meetings. - Organize, compile, and process documentation and information from programme team as inputs to knowledge database and documents. - Proofread reports, translations, documentation, and correspondence. III- Support knowledge building and knowledge sharing in the office focusing on the following tasks: - Perform research to identify and synthesize information, good practices and lessons learned collected from diverse sources, on various issues, that promote knowledge development. - Coordinate closely with programme and operations staff to identify opportunities and synergies for collaboration on knowledge management. - Maintain a knowledge database in the office. - Register, classify, catalogue and organize all reference materials, documents, publications, press releases. - Contribute to knowledge networks and communities of practice. - Participate in trainings. IV- Provide administrative support by performing the following tasks: - Undertake logistical, administrative, and financial arrangements for meetings, workshops, events, and missions. - Draft minutes of the meetings, as delegated. - Make travel arrangements including travel requisitions and claims. - Create e-requisitions in Atlas and receipt of goods or services as delegated. - Register and dispatch outgoing communications, and follow-up distribution; keep record of reports received, classify and code materials being filed. - Maintain and update files of reports, correspondence, and other relevant material, making sure files are properly stored and accessible - Manage the booking of conference room and other meeting room. Reporting to Programme Management Specialist Adjumani, and under he over all supervision of the UN Women Country Representative, the Programme Officer contributes to the effective management of the LEAP programme in the UN Women Adjumani Office by providing substantive inputs to programme design, formulation, implementation, and evaluation. The Programme Officer guides and facilitates the delivery of UN Women programmes by monitoring results achieved during implementation and ensuring appropriate application of systems and procedures and develops enhancements if necessary. The Programme Officer works in close collaboration with the programme and operations team, UN Women HQ personnel, Government officials, multi and bi-lateral donors and civil society ensuring successful UN Women programme implementation under portfolio. 1. Contribute technically to the development of programme strategies in the LEAP Programme. ·Provide substantive inputs to the design and formulation of programme/ project proposals and initiatives, ·Identify areas for support and intervention related to the programme. 2. Provide substantive technical support to the implementation and management of the LEAP Programme. ·Provide technical inputs to the annual workplan and budget, ·Lead the implementation of programme activities, ·Coordination of the call/request for proposals, including the organization of technical review committees, and capacity assessment of partners, ·Review, coordinate and monitor the submission of implementing partner financial and narrative reports, ·Support training of partners on Results Based Management and monitor implementation. 3.
