Bajo la supervisión directa de la Especialista de Programas y la Asociada de Programas y Finanzas de ONU MUJERES, la voluntaria o voluntario tendrá las siguientes funciones y responsabilidades:

  1. Brindar apoyo administrativo y logístico para la implementación del Programas siguiendo las normas y procedimientos de ONU Mujeres
  • Llevar a cabo las tareas administrativas y logísticas necesarias para el desarrollo de las actividades previstas en el proyecto;
  • Brindar apoyo administrativo a los procesos de gestión de contratos;
  • Dar seguimiento a la gestión administrativa del Programa en coordinación con Socios/as implementadores/as;
  • Apoyar en la confección del Plan de Adquisiciones del Proyecto y apoyar los procesos de contratación de los servicios y bienes del plan de adquisiciones siguiendo las normas y procedimientos de la organización;
  • Mantener la base de datos de inventario de todos los activos del Programa y preparar los informes financieros requeridos;
  • Organizar el mantenimiento y la reparación de los activos cuando sea necesario;
  • Mantener el sistema de archivo y bases de datos del proyecto;
  • Apoyar en la elaboración de los reportes financieros, en función de los requerimientos del proyecto y la solicitud de la coordinadora del proyecto y la Asociada de Programas y Finanzas.
  1. Proporcionar apoyo administrativo y logístico en la organización de conferencias, talleres, reuniones con partes interesadas y otros eventos del proyecto.
  • Apoyar la organización, logística y ejecución de conferencias, talleres, reuniones y eventos del proyecto;
  • Preparar los documentos para la organización de reuniones y eventos incluyendo agenda, cartas de invitación, nota logística, guía para las moderaciones y demás;
  • Apoyar los procesos de adquisiciones de bienes y servicios necesarios para la ejecución de reuniones y eventos del proyecto siguiendo las normas y procedimientos de la organización;
  • Coordinar las reservaciones de boletos de avión, pago de viáticos y dar seguimiento al reembolso de gastos de participantes nacionales e internacionales de acuerdo con las reglas y procedimientos de ONU Mujeres;
  • Registrar las minutas de las reuniones y otra documentación requerida del programa según sea necesario;
  • Cualquier otra tarea asignada por su supervisora.
  1. Apoyar la gestión financiera requerida para la implementación del Programa siguiendo las normas y procedimientos de ONU Mujeres
  • Apoyar la formulación del presupuesto del programa;
  • Llevar a cabo las tareas financieras y contables requeridas por el proyecto;
  • Preparar toda la documentación de respaldo para las solicitudes de pagos;
  • Apoyar el control financiero oportuno, el monitoreo y la presentación de informes financieros conforme a requerimientos de financiador;
  • Monitorear el gasto de fondos de donantes y otros gastos y desembolsos del programa;
  • Coordinar la gestión de pagos;
  • Preparar gráficos financieros estadísticos, tablas e informes obteniendo datos de diversas fuentes de financiamiento;
  • Realizar los procedimientos administrativos y financieros en el sistema integrado de ONU Mujeres (Atlas);
  • Brindar apoyo administrativo necesario para la gestión eficaz del conocimiento y el intercambio de información.

Within the delegated authority and under the supervision of Head of WHO European Office for Investment for Health and Development or his/her designated mandated representative(s), the UN Volunteer will:

As part of the team, the incumbent will be required to perform a variety of secretarial and administrative services in support of the technical and policy activities of the Venice Office:

  1. Drafts correspondence and documents based on written/verbal prompts from the professional staff of the Office. Composes and finalizes correspondence of administrative nature. Provides rough translation or synopsis of incoming mail. Takes notes at meetings. Types reports and other documentation.

  1. Assists with the administrative preparation and conduct of online meetings, trainings and policy dialogues in accordance with WHO established procedures.
  1. Makes travel arrangements for duty travels and, in accordance with established procedures, prepares approval memoranda, travel authorizations and follows up on issue of duty travel reports
  1. Prepares correspondence for the recruitment of consultants and staff; arranges briefing appointments and provides secretarial support for them while in the Venice Office; processes agreements for contracts as required and related correspondence follows up on deadlines of such agreements/contracts and prepares payment instructions.
  1. Initiates action to process or follow up on correspondence, documentation and forms. Creates background files and compiles reference material as appropriate. Accesses and retrieves information from relevant databases and updates as required. Assist in the preparation of the VAT forms for invoices processed in 2020.

  1. Responds to and acts on telephone enquiries and requests for information. Assesses the critical nature of technical enquiries and refers them to appropriate staff for reply. Coordinates appointments for supervisor(s) and organizes programmes for visitors.

  1. Assists or replaces other secretaries and/or programme assistants in the unit or department should the need arise.
  1. Performs other related duties as required.
Bachelor degree or equivalent

  • At least 1 year of professional work experience at the national and/or international level in administrative assistance or other relevant areas;
  • Experience with latest IT technologies and trends is an asset, as is experience working in the UN or other international development organization;
  • Excellent oral and written skills; excellent drafting, formulation, reporting skills;
  • Solid overall computer literacy, including proficiency in various MS Office applications (Excel, Word, Outlook, PowerPoint etc.) and email/internet; familiarity with database management; and office technology equipment;

  • Familiarity with WHO online administrative system (GSM) would be an advantage although a job training will be provided.

Language skils:

  • Fluency in spoken and written English is required;

Specific tasks include:

  • Review, translate, edit, and proof-read all GEF-related documents, email texts and communication materials, meeting relevant deadlines and ensuring a high level of quality, accuracy, coherence and comprehension.
  • Work closely with designated staff and experts to ensure consistency and accuracy on terminology, word choice, style and quality.
  • Apply a gender-sensitive lens to all translated material, utilizing approved UN terminology.
  • Demonstrate willingness to support other tasks related to the translation of deliverables as assigned by the supervisor.

Furthermore, UN Volunteers are encouraged to integrate the UN Volunteers programme mandate within their assignment and promote voluntary action through engagement with communities in the course of their work. As such, UN Volunteers should dedicate a part of their working time to some of the following suggested activities:
