Bajo la supervisión directa de Especialista en Gestión de Programas, el/la Voluntario/a Comunitario/a de las Naciones Unidas, para realizar sus funciones adecuadamente, deberán:

1. Formar parte activa de la red de mujeres defensoras de derechos humanos de ONU Mujeres.
2. Participar en las reuniones, capactaciones y talleres implementados para mejorar sus capacidades en vocería, comunicación, negociación, mediación y monitoreo de derechos humanos.
3. Apoyar la organización y logística de los eventos: foros, talleres o reuniones.
4. Contribuir al Sistema de Alerta Temprana (SAT) mediante el monitoreo de situaciones de conflicto y vulneración de derechos humanos, con especial énfasis en derechos civiles y políticos de las mujeres.
5. Proporcionar capacitación y sensibilización, y fortalecer las competencias de mujeres en las comunidades en temas como: derechos de las mujeres, participación política, liderazgo y gobernanza, prevención y resolución de conflictos, Ley Nº 243, derechos colectivos de las mujeres indigenas y otros que se identifiquen durante la implementación del proyecto.
6. Proporcionar acompañamiento y asesoramiento a mujeres víctimas de acoso y violencia política.
7. Asistir en la elaboración de documentos de política, gestión del conocimiento, propuestas, alerta temprana, guías y otros requeridos para la implementación del programa.
8. Compartir conocimientos, experiencias, buenas prácticas y lecciones aprendidas.
9. Fomentar la sensibilización y concientización.
10. Apoyar en la conformación de equipos técnicos y equipos especializados del Sistema de Alerta Temprana.
11. Apoyar en el desarrollo de acuerdos con organizaciones de sociedad civil y organizaciones de mujeres.
12. Contribuir y apoyar en el desarrollo de materiales y documentos vinculados al área de paz y seguridad de la oficina de ONU Mujeres Bolivia.
13. Participar en las reuniones de coordinación con ONU Mujeres así como con las organizaciones de sociedad civil e institucionales, los actores y actoras identificadas, y las contrapartes.
14. Coordinar con el área de comunicación de ONU Mujeres el desarrollo de notas y artículos para el boletín oficial de ONU Mujeres
15. Otras actividades que la oficina de ONU Mujeres identifique para el cumplimiento de los objetivos del proyecto.
16. Cualquier otra actividad que se requiera o sea asignada por el supervisor

Within the delegated authority and under the supervision of the WEE- Program Manager or his/her designated mandated representative(s), the UNV – Project Assistant will:

1. Provide administrative and logistical support to the formulation and management of programs

• Provide administrative support in the preparation of program work plans, budgets, and proposals on program implementation arrangements, including tracking the delivery of funds.
• Provide administrative support to the executing agencies / responsible parties on routine delivery and reporting of program supported activities and finances.
• Provide administrative support for the audit of programs/ projects and support implementation of audit recommendations.
• Identify sources and gather and compile data and information for the preparation of documents, guidelines, speeches, and position papers, in collaboration with the Program team.

2. Provide administrative support to the financial management of the Programme Unit

• Create projects in Atlas, prepare budget revisions, revise project awards and status; and determine unutilized funds and the operational and financial close of a project.
• Provide administrative support in monitoring and preparation of budget and the finances of programs/projects, and in the preparation of FACE forms.
• Prepare non-PO vouchers for development projects.
• Process payment for consultants, as delegated.
• Create requisitions in Atlas for development projects; register good receipts in Atlas.

3. Provide administrative support to the Program Unit

• Undertake all logistical, administrative, and financial arrangements for organization for meetings, workshops, events, and missions.
• Make travel arrangements for the Program Team, including travel requisitions and claims.
• Draft minutes in meetings, as delegated.
• Assemble briefing materials and prepare power-point and other presentations, in collaboration with the Program team.
• Organize and coordinate filing of documents; maintain mailing lists.

4. Provide administrative support to resource mobilization

• Organize, compile, and process documentation and information from donors, and program team as inputs to various databases and documents.

5. Facilitation of knowledge building and knowledge sharing

• Provide administrative support to the organization of training for the office staff and partners on program and operations related issues.

6. Any other related tasks as may be required or assigned by the supervisor.

Within the delegated authority and under the supervision of Programme Coordinator or his/her designated mandated representative(s), the Administrative/Logistics clerk will:
Support implementation of operational strategies by:

• Full compliance of administrative activities with UN/UN Women rules, regulations, policies and strategies;
• Provision of inputs to the project’s administrative business processes mapping and implementation of the internal standard operating procedures (SOPs);
• Provision of inputs to the preparation and implementation of administrative team results-oriented work plans.

Provide general contract administrative support to the project implementation in:

• Monitoring the timely submission of deliverables and timely processing of payments under project special service agreements and institutional contracts;
• Regular updating the project main register of contracts and payments;
• Compiling necessary documents for hiring of new or amending contracts of current consultants or companies;
• Gathering necessary documents for creation/amendment of Vendor Profiles, e-requisitions, Purchase Orders, micro-canvass forms, vouchers.

Ensure effective provision of administrative and logistical support by:

• Ensuring that travel arrangements and authorizations, passport and visa requests and extensions, flight bookings and all other matters related to travel of international and national staff are properly and timely authorized and processed;
• Providing administrative and logistical support in preparation of missions, conferences, workshops;
• Providing inputs for preparation of budget, provision of information for audit;
• Assisting in organization of shipments, mailing of documents for UN Women;
• Participation in data collection, analysis and maintenance of projects related database and files; maintaining accurate electronic and paper filing, information and records systems ensuring safekeeping of confidential materials;
• Participation in project activities (meetings, round tables, conferences, other public activities) preparation, implementation and follow up, taking meeting minutes;
• Support Buyer in preparation of Purchase Orders (POs) by submitting full set of necessary supporting documents.

Ensure provision of basic administrative support services to the project:

• Preparation of routine draft correspondence and reports;
• Extract, input, copy, scan and file data from various sources,
• Selection of suppliers for basic goods and services by collecting quotations;
• Collect background information documents, as necessary;
• Communication with partners on technical issues of cooperation;
• Maintenance of records on project assets management and preparation of required reports;
• Maintenance of project contract management.

Provide support to knowledge building and knowledge sharing through:

• Participation in the training for office staff.
• Contributions to knowledge networks and communities of practice.
